Terms & Conditions

These terms apply to DJs, crew, mentors, participants, visitors, ticket holders and partners of DJ Talent Room (DTR Scout), Rotterdam — the Netherlands.

1. Definitions

DTR / we / us — DJ Talent Room, also operating as DTR Scout, established in Rotterdam, the Netherlands, contactable at info@djtalentroom.com.

Artist / DJ — any person who applies to, is listed in, or performs through the DTR talent pool or at a DTR event.

Crew — mentors, talent scouts, industry professionals, hosts, MCs, moderators and panel members who participate in a DTR event or programme.

Participant — anyone taking part in an education, coaching, workshop or mentoring activity organised by DTR.

Visitor — any person attending a DTR event, whether via ticket, guest list or invitation.

Partner — a venue, brand, sponsor, media outlet or organisation cooperating with DTR.

Event — any activity organised or co-organised by DTR, including main events, sub-events, showcases, summits, workshops, studio sessions and market or hospitality activations.

2. Scope and applicability

These Terms & Conditions apply to every offer, application, registration, booking, ticket purchase, cooperation and service of DTR, and to all use of the website djtalentroom.com / djtalentroom.live.

By submitting any form on this website — DJ sign-up, crew sign-up, guest list request, partner or press enquiry — you confirm that you have read and accepted these Terms and the privacy statement.

Deviations are only valid when confirmed by DTR in writing. General terms of the other party are expressly rejected.

DTR may amend these Terms. The version published on this page at the moment of your application, booking or purchase applies.

3. Applications, talent pool and selection

Applying as a DJ, crew member or mentor does not create any right to selection, a booking, a line-up slot, a profile page or a programme place. DTR selects on artistic, programmatic and practical grounds and is not required to motivate a decision.

You warrant that the information, links, audio and images you submit are accurate and that you are entitled to submit and publish them.

An accepted profile may be shown publicly in the DJ Pool or Crew overview. You may request removal of your public profile at any time by email; DTR will process such a request within a reasonable period.

DTR may refuse, pause or remove a profile or application in case of inaccurate information, misconduct, no-shows, or behaviour that conflicts with the house rules or the reputation of DTR or its partners.

When a sign-up is marked as closed or full for a specific event, no further applications for that event are accepted; the general talent pool remains open.

4. Bookings and performance obligations

A booking is only binding once confirmed in writing (email counts as writing), stating date, location, set time, duration and any fee or expense arrangement.

The artist arrives at the agreed time for sound check, respects the agreed set length and start/end times, and follows the instructions of the DTR production, the venue and the security staff.

The artist provides their own USB sticks, headphones and, where agreed, additional equipment, and is responsible for the technical compatibility of their material.

Unless agreed otherwise, showcase and talent-development slots are unpaid promotional performances; paid bookings are set out individually in the booking confirmation.

Use of alcohol or drugs that affects the performance, aggressive behaviour, discrimination, harassment or unsafe conduct results in immediate termination of the performance without any compensation.

5. Cancellation, changes and no-show

Cancellation by the artist or crew member must be made in writing as soon as possible. Cancellation within 7 days before the event is only accepted for urgent reasons; the artist makes reasonable efforts to propose a suitable replacement.

A no-show — not appearing without timely written notice — may lead to removal from the talent pool and exclusion from future programming, and to recovery of demonstrable costs incurred.

DTR may change, move, shorten or cancel an event, line-up, set time or programme element, for example due to insufficient ticket sales, permit issues, venue decisions, safety, weather or force majeure. Where reasonably possible DTR informs the parties involved in good time.

In case of cancellation by DTR of a paid booking, DTR pays the agreed fee only if cancellation occurs within 48 hours before the performance and the cancellation is not caused by force majeure, unless agreed otherwise in writing.

Cancellation of a paid education or coaching programme by the participant: free of charge up to 14 days before the start; 50% of the fee between 14 and 7 days; 100% within 7 days before the start. A missed session is not refunded.

6. Tickets, guest list and access

Tickets are sold by DTR or through an appointed ticketing partner. The ticketing partner's terms apply in addition to these Terms for the purchase itself.

Tickets are personal and valid for the stated event and date only. Resale for commercial purposes, duplication or manipulation of tickets is prohibited and leads to invalidation without refund.

Purchased tickets are not refundable, except when the event is cancelled by DTR and not rescheduled; in that case the ticket price is refunded, excluding service and transaction fees.

A guest list request is a request, not a confirmation. A place on the guest list is personal, non-transferable, valid until the stated time and may be withdrawn when capacity is reached.

Access can be refused or withdrawn without refund in case of intoxication, aggression, discrimination, harassment, weapons, drugs, or refusal of a search or identity check.

7. Age policy and safety

Unless explicitly stated otherwise for a specific event, DTR events in nightlife venues are 18+ and valid photo identification is required at the door.

For daytime, educational and market or hospitality activations a lower age limit may apply. Participants under 18 in education or talent programmes require written permission from a parent or legal guardian, including permission for image use where applicable.

Dutch law on the sale and supply of alcohol applies at all times: no alcohol to persons under 18, and no supply to visibly intoxicated persons.

DTR pursues a safer-space policy. Discrimination, racism, sexism, homophobia, transphobia, harassment and unwanted physical contact are not tolerated and lead to removal from the venue and, where relevant, from the talent pool or crew.

Incidents can be reported to the DTR production team on site or afterwards by email; reports are treated confidentially.

8. Image rights, recordings and portrait rights

Photography and audio/video recordings are made at DTR events. By entering the event area you accept that you may be recorded and that these recordings may be used for reporting, promotion, aftermovies, social media and partner communication.

Artists and crew grant DTR a non-exclusive, royalty-free, worldwide right to use their name, artist name, portrait, photo, bio, logo and social links for the announcement, documentation and promotion of the event and of DTR, for an indefinite period.

Recordings of a performance (audio and/or video) made by or on behalf of DTR remain the property of DTR. Artists receive, where available, a copy for their own portfolio and non-commercial promotional use with credit to DJ Talent Room.

Commercial exploitation of DTR recordings by third parties, or by the artist beyond own promotion, requires prior written permission.

Own recordings by the artist or third parties with professional equipment require prior permission from DTR and the venue.

A visitor who does not wish to be recognisably portrayed can report this on site or by email; DTR will remove or blur the material where reasonably possible. Withdrawal of consent has no retroactive effect on material already published or printed.

9. Music rights and intellectual property

The artist warrants that the performance of their set does not infringe third-party rights and is responsible for clearing samples, edits, bootlegs and unreleased material used.

Statutory music rights obligations (such as Buma/Stemra and Sena) for the event are handled by DTR or the venue, depending on the agreement with the venue.

All content on this website — texts, design, logos, photography and video — belongs to DTR or its licensors and may not be reproduced without written permission, except for material supplied by the artist themselves.

The artist retains all rights in their own music and brand; nothing in these Terms transfers ownership of the artist's masters or compositions to DTR.

10. Talent development, education and mentoring

DTR offers scouting, coaching, workshops, feedback sessions, studio time and mentoring. These are development activities: DTR gives no guarantee of bookings, exposure, a record deal, a residency or any commercial result.

Advice, feedback and introductions are given to the best of our ability; decisions taken by the participant on the basis of such advice remain their own responsibility.

DTR is not an accredited educational institution and does not issue legally recognised diplomas; certificates of participation may be issued.

Places in a programme are limited. A place is only reserved after confirmation and, for paid programmes, after payment or an agreed payment arrangement.

DTR may remove a participant from a programme in case of structural absence, disruptive behaviour or non-payment, without refund of amounts already due.

11. Crew, mentors and volunteers

Crew roles (mentor, talent scout, industry professional, host/MC, moderator, panel member) are performed on the basis of an assignment or on a voluntary basis; unless agreed otherwise in writing, no employment relationship arises.

Crew members treat artists, participants and visitors respectfully and professionally, follow the safer-space policy and keep confidential information — including unreleased music and personal data — confidential.

Crew members are expected to be present at the agreed times and to report unavailability as early as possible.

12. Partners, sponsors, venues and press

Cooperation with venues, hospitality, studios, markets, brands and media is laid down in a separate agreement or written confirmation, in which deliverables, visibility, exclusivity and payment terms are recorded.

Use of the DTR name and logo by partners requires prior written approval of the design and placement.

Press accreditation is personal, is granted for a specific event and may be limited to specific time slots or areas. Press material is used with credit to the photographer and DJ Talent Room.

13. Fees, invoicing and payment

Unless agreed otherwise, invoices are payable within 14 days of the invoice date.

In case of late payment DTR may charge statutory commercial interest and reasonable collection costs, and suspend performance of the agreement.

Agreed fees are exclusive of VAT unless stated otherwise. Travel and accommodation costs are only reimbursed when agreed in writing in advance.

14. Personal data

DTR processes personal data in accordance with the GDPR. What we collect, why, how long we keep it and which rights you have is set out in the privacy statement.

Data submitted through a form is used to assess your application, to manage your profile or request, and to communicate with you about events and programmes.

Marketing communication is only sent on the basis of consent and can be withdrawn at any time.

15. Liability

Attendance at events and participation in programmes is at your own risk. DTR is not liable for hearing damage, loss, theft or damage to personal property, unless caused by intent or gross negligence on the part of DTR.

DTR's liability is at all times limited to the amount paid by the other party under the relevant agreement, or, failing that, to the amount paid out by DTR's insurer.

DTR is never liable for indirect damage, including missed bookings, lost income, reputational damage or consequential loss.

The artist, crew member or partner indemnifies DTR against third-party claims arising from their own actions, their content or their infringement of third-party rights.

16. Force majeure

Force majeure includes, among other things: government measures, health regulations, permit refusal, strikes, power or equipment failure, extreme weather, unsafe situations, illness of an essential artist, and failure of suppliers or the venue.

In case of force majeure DTR may postpone or cancel obligations without being liable for compensation. Where possible an alternative date or an alternative programme is offered.

17. Complaints and disputes

Complaints must be submitted by email to info@djtalentroom.com within 14 days after the event or the relevant fact, with a clear description.

DTR responds within 14 days and aims for a solution in mutual consultation.

Dutch law applies. Disputes that cannot be resolved amicably are submitted to the competent court in Rotterdam, the Netherlands.
